Terms of Service

These terms govern your use of RingHQ (“RingHQ”, “we”, “us”, “our”), the online equestrian event-management platform at entermy.horse and its ClubHQ tools at ringhq.club, operated by Veterinary Nurse Solutions Pty Ltd (ABN 88 155 687 906). By creating an account, entering an event, or otherwise using RingHQ, you agree to these terms. If you do not agree, please do not use the platform.
1. About these terms
In these terms: an Organiser is the club, association or person running an event on RingHQ; an Entrant (“you”) is a person who enters an event or uses the platform; and an Event is a competition, clinic or other activity published on RingHQ.
2. What RingHQ is
RingHQ is a platform that lets Organisers publish Events and lets Entrants enter and pay for them online. Each Event is run by its Organiser, not by RingHQ. RingHQ is not the organiser of any Event and is not responsible for how an Event is run, judged, scheduled or cancelled. Your agreement for the Event itself is with the Organiser.
3. Your account
- You must provide accurate, current information and keep it up to date.
- You are responsible for keeping your login details secure and for activity under your account.
- You must be old enough to form a binding agreement, or have a parent or guardian enter on your behalf.
- Tell us promptly if you believe your account has been used without your permission.
4. Entries and payments
- The fees for an Event — entry fees, class fees, gate or admin fees, and any other charges — are set by the Organiser and shown to you before you confirm your entry.
- A RingHQ service fee applies to entries and is shown at checkout.
- Card payments are processed securely by our payment provider, Stripe. Where an Organiser takes payment offline (for example by bank transfer), your entry is confirmed once the Organiser records your payment as received.
- You are responsible for making sure your entry details are correct before you pay.
5. Refunds and cancellations
The RingHQ service fee is non-refundable. If you scratch, withdraw, or your entry does not go ahead for any reason, the RingHQ service fee is not refunded.
Each Organiser sets their own refund policyfor their Event. You agree to that Organiser’s refund policy at the time you enter. Any refund of entry fees, gate fees or other Event charges is governed by that Organiser’s policy and is a matter between you and the Organiser.
RingHQ facilitates payments and processes any refund the Organiser approves, but RingHQ does not decide Event refund outcomes and is not responsible for them. If you have a question about a refund for an Event, contact the Organiser.
6. If you are an Organiser
- You are responsible for running your Event, and for the accuracy of the information, fees and refund policy you publish.
- You must set a clear refund policy for your Event and honour it.
- You must handle Entrants' personal information responsibly and in line with your obligations under privacy law.
- You must comply with all laws, rules and association requirements that apply to your Event.
- Where you collect payments through RingHQ, you authorise us to collect the RingHQ service fee, and you agree to remit any amounts owed to RingHQ (including where you take payment offline).
7. Acceptable use
You agree not to:
- Use RingHQ for any unlawful, harmful or fraudulent purpose;
- Upload content that is false, misleading, offensive or infringes someone else's rights;
- Attempt to access accounts, data or systems you are not authorised to access; or
- Interfere with, disrupt or place undue load on the platform.
8. Your information
Our Privacy Policy explains how we collect, use and disclose personal information. By using RingHQ you consent to that handling of your information.
9. Availability and disclaimers
We work hard to keep RingHQ available and accurate, but we provide the platform “as is” and cannot guarantee it will always be uninterrupted or error-free. Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Australian Consumer Law that cannot lawfully be excluded.
10. Liability
To the maximum extent permitted by law, RingHQ is not liable for any indirect or consequential loss, or for matters within an Organiser’s control (including how an Event is run, judged, scheduled, cancelled or refunded). Where our liability cannot be excluded, it is limited to re-supplying the relevant service or paying the cost of doing so.
11. Suspension and termination
We may suspend or close an account that breaches these terms or that we reasonably believe is being used unlawfully or unsafely. You can stop using RingHQ, or ask us to close your account, at any time.
12. Changes
We may update the platform and these terms from time to time. The current version will always be available on this page, with the “Last updated” date above. If you keep using RingHQ after a change, you accept the updated terms.
13. Governing law
These terms are governed by the laws of Victoria, Australia, and you submit to the courts of that state.
